Email Templates

You can customise all of the emails that are sent from FoodStorm. All emails have a default message to begin with.

  1. Click Settings > Email Templates.
  2. Hover over the email template you want to edit, then click the pencil icon. 
  3. Edit the email subject & content to be as you desire.
  4. You can optionally add an attachment to the email based on your document templates. Select from the list at the bottom of the screen which attachment you would like to be attached, and what you would like the attachment file name to be called. Note: Do not include a file extension (e.g. .PDF) as this is added automatically. Read more about document templates.
  5. Click Save. Note that your changes are effective immediately.

Tip: If you wish to add or delete merge fields within the email, expand the Merge Field Help panel at the top of Email Template screen. You will see a full list of all the merge fields that you can use within the email.

Reverting an email template to its default

  1. Click Settings > Email Templates.
  2. Hover over the email template you want to revert and click on the cross icon. 
The will only delete the changes made to the email and it will revert back to the default.

Adding custom email templates

You can add additional email templates for the following template types:

  • Customer Order Confirmed (sent when adding or editing a Customer Order)
  • Quote Added (send when adding or editing a Quote)

Custom Email Templates allow you to choose different content to send when editing an Order or Quote. 

To add a custom email template:

  1. Click Settings > Email Templates.
  2. Click the Add button at the bottom of the list of templates.
  3. Enter a name for your Email Template - this name will appear for you to choose from when adding an order or quote.
  4. For Type, select either Customer Order or Quote.
  5. Add the content of your email template (refer to the steps at the start of this article).
  6. Click Save.
  7. Ensure all users sign out of FoodStorm and then back in again for the changes to take effect.

Using custom email templates

Once you have added one or more custom templates, you will be able to select your template when editing a Customer Order or Quote.

At the end of the Edit Order / Edit Quote page, alongside the Send Email checkbox you will see a drop-down list where you can select the email template to use.

After selecting a template, you can then click Change Message to make further changes to your email if required.

Linking an email template to an order type

To help ensure you send the correct email communication for the various types of catering that you offer, you can optionally link an Email Template to an Order Type. When editing a Customer Order or Quote, as soon as you select an Order Type, the relevant Email Template will be automatically selected.

To link an email template to an order type:

  1. Click Settings > Order Types.
  2. Either add a new Order Type, or edit an existing Order Type.
  3. On the Edit Order Type page, under the Email Templates section you can select which email templates to use for this order type.
  4. Click Save.
  5. Ensure all users sign out of FoodStorm and then back in again for the changes to take effect.
